YEAR-ROUND COMPASS

February 2019 | A newsletter for the HR/payroll professional

Tax Form/ Statement Deadline

Ceridian does not automatically print or file your 2018 Canadian Tax Forms/Statements. Beware of Year-End deadlines. It is time to request Tax Forms/Statements if you have not already requested them.

Activity Deadline
Deadline: Year-To-Date Corrections Monday, February 11, 2019
Deadline: Tax Form/Statement Print and Ready for filing Friday, February 15, 2019

Note: Once Ready For Filing is indicated (the Filing Commit > Status indicator is orange), this authorizes Ceridian to create the Government File(s). This means:

  • Ceridian has not yet created the original Tax Forms/Statements file for the government.
  • Changes can still be made to the original Tax Forms/Statements until the Filing Commit > Status indicator is green.

If the Filing Commit > Status is green, Ceridian has created the original Tax Forms/Statements file for the government. Government Agencies receive all Tax Forms/Statements from Ceridian no later than February 28.

  • Once the files are delivered, the agencies (CRA/MRQ) may take up to 4 weeks to process them.
  • To make any changes to Tax Forms/Statements, after the Filing Commit > Status indicator is green, an amendment must be created. These amended files will be submitted to the Government(s) after March 1.

Note: Failure to meet Ceridian’s Customer filing deadline of February 15, 2019 may result in missing the February 28 CRA/Revenu Québec deadline.

Failure to distribute Tax Forms/Statements to employees before February 28 may result in penalties (fines) being levied by CRA/Revenu Québec.

Electronic Filing of Tax Forms/Statements to CRA and Revenu Québec

Ceridian will electronically file tax forms with CRA and Revenu Québec.

Important:

  • Original Tax Forms/ Statements sent to CRA / RQ after the deadline may incur penalties.
  • If Tax Forms/Statements were not produced for an employee and should have been, and electronic filing has been submitted, contact CRA/RQ and advise them immediately to mitigate penalties.
  • Issuing of penalties regarding tax filing is at the discretion of CRA / RQ and there may be situations where an assessment is issued (by CRA / RQ) due to circumstances not related to Tax Form/ Statement activities handled by Ceridian.
CRA Do not send a T4/T4A Summary to CRA.
Revenu Quebec The Government-supplied RL Summary (RLZ-1.S-V) must be completed and sent to the address shown on the form even if Ceridian has sent your RL-1 information electronically. Failure to file the RL Summary may result in penalties. The Québec provincial government does not supply Ceridian with RL-1 Summaries. The summary that is sent by the Government of Québec must be used for filing purposes.
For the purpose of completing the RL Summary, Ceridian Dayforce’s Revenu Québec tax filing number is NP018872.
Note: This number is for Ceridian customers’ filing purposes only and should NOT be used or distributed to anyone other than Revenu Québec.

Action required: Submit RL Summaries no later than February 28, 2019.

Managing Corrections for Multiple CRA RP Numbers

During the year, and specifically at year-end, requests to move employees from one RP to another may result in negative remittances. Each Business RP number is associated with a specified EI rate.

Prior to transferring employees or making tax corrections between RP numbers:

  • Be aware that Ceridian cannot recover any monies already remitted to CRA.
  • Best Practice is to make these corrections on a Maintenance Run and ask CRA to manually move the applicable remittances.

New: Limited and Total Taxable Wages now generated with adjustments

The Dayforce Checks tab now generates the limited and total taxable wages for the employee and employer taxes (applicable for the earning on a manual cheque) without clicking Calculate Check. Previously, Dayforce generated limited and total wages only when Calculate was clicked in the Check Entry tab.

The Adjustments tab is updated when employee tax (CPP, QPP, QPIP, EI, Fed Tax, Prov Tax) entry is added without updating the Limited and Total Wages. Dayforce now automatically generates the corresponding limited and total Wages amounts. For example, if an entry is only created for employee EI, the application generates an entry for employer EI as well.

For more information, see the Knowledge Base article, Limited and Total Taxable Wages, on the Ceridian Support Portal.
